University Rotary Sponsor Open Day

Three tiers, one calendar.

Every request is prioritized the same way, whether it comes from a partner school, a sponsor, or a Rotary club β€” so nobody has to guess where they stand.

TIER 1

Rotary Clubs

Fixed presence, prime time, every week.

  • 2 fixed slots per week, prime time
  • Rotary branding displayed at the arena during their visit
  • Scheduled Thursday or Friday
TIER 2

University Partners

One school, one arena day, split into two acts.

  • 1 school = 1 arena day (Mon–Wed)
  • Morning: talk / panel at the school
  • Afternoon: qualifier at the arena
TIER 3

Sponsors

By appointment, built around your pitch.

  • Thursday or Friday, by appointment
  • Slot follows the sponsor's proposed agenda
  • Reviewed case-by-case with the secretariat

How a booking moves, start to finish.

The same six steps, every time β€” that's what makes the arena measurable.

A

Request

The organization fills out the one Central Booking Form β€” no side bookings over chat or Messenger.

B

Qualification β€” within 24 hours

The secretariat checks arena capacity, conflicts, and the group's real objective: exposure, or an actual qualifier.

C

Slot assignment

Mon–Wed for University Qualifiers, Thu–Fri for Rotary & Sponsors, Sat for Interschool / Open Day. Max 2 slots a day: 10AM–12PM and 2PM–4PM.

D

Confirmation pack

Once approved, the org receives the arena address, parking, what to expect, the waiver, and their single point of contact.

E

The arena experience

Welcome & intro (5 min) β†’ HADO game (20 min) β†’ pitch / next steps (10 min) β†’ photo op & commitment form.

F

Follow-through β€” within 48 hours

A thank-you note and a proposal for their own University Series leg, sent while the visit is still fresh.
